Privacy Policy
Lee Mathematics Tuition is a trading name of Lee Academics Pty Ltd (ABN 92 702 023 032). Before 1 October 2026 it was operated by Jonathan Lee as a sole trader. In this policy, “we”, “us” and “our” mean Lee Academics Pty Ltd.
We are committed to protecting your privacy. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Information We Collect
We may collect and hold personal information about you and your child, including:
- Names, email addresses, phone numbers and postal or suburb location
- Your child’s year level, school, subjects and academic needs
- Lesson records, progress notes and assessment results
- Recordings and notes of strategy sessions and lessons, which we use to prepare your child’s learning plan and progress reports, to train and coach our team, and (with names and identifying details removed) to improve our teaching, our service and how we communicate with families
- Payment and billing information (processed by our payment provider; we do not store full card numbers)
- Records of your communications with us (calls, SMS, email and messaging)
- Website and advertising interaction data, including cookies and similar technologies
Where We Get Your Information
We collect most information directly from you, when you:
- fill in an enquiry form, on our website or on Facebook and Instagram (Meta lead forms);
- book or attend a strategy session with us;
- enrol your child and register for lessons; or
- call, text, email or message us.
We also create records ourselves, such as lesson notes, progress reports and recordings of strategy sessions and lessons. Sometimes another family refers you to us. If you ask, we will tell you where we got your contact details.
How We Use Your Information
We use personal information to:
- Provide, operate and improve our tutoring services
- Match your child with a suitable tutor and personalise their learning plan
- Schedule lessons, issue invoices and process payments
- Communicate with you about your child’s progress, bookings and account
- Send you marketing and promotional communications (you may opt out at any time; see below)
- Measure the effectiveness of our advertising, and improve how we reach families who may benefit from our services
- Detect and prevent fraud, and meet our legal obligations
Marketing Emails and Texts, and How to Stop Them
We may email or text you about our tutoring, for example term-time updates, resources for your child’s year level, or an invitation to come back. We do this only when you have asked us to, or when you have enquired about or used our services, and only for a limited time after that.
You can stop our marketing at any time, free of charge:
- click the unsubscribe link in any marketing email;
- reply STOP to any marketing text message; or
- contact us by email or phone (details below).
We action opt-out requests promptly, and always within 5 business days. An opt-out covers all of our marketing emails and texts. If your child is a current student, you will still receive lesson, scheduling and billing messages, because these are not marketing.
How We Use Automated Tools and AI
We use software, including artificial intelligence (AI) services, to help us run our business. For example, AI helps us sort and summarise replies to our emails and messages, and draft emails, messages, learning plans and progress reports from lesson and call notes and recordings. Simple replies, such as sending you a booking link, confirming you have opted out, or noting that now isn’t the right time, may be sent automatically. Anything about your child’s learning, fees, or a concern you raise is handled by a member of our team.
We also use automated rules to decide which of our emails you receive and when, for example based on your child’s year level and how long ago you were last in touch. These rules do not decide whether you can use our services or what you pay.
Our AI providers process this information on our behalf, under commercial terms that do not permit them to use it to train their models.
Disclosure of Personal Information
We do not sell your personal information.
We disclose personal information to the following categories of recipients, and only for the purposes described in this policy:
- Our tutors and staff, so they can deliver and support your child’s lessons.
- Service providers who operate our business systems, including our customer relationship management, scheduling, telephony and messaging, payment processing, document, hosting, email delivery and AI providers. These providers process information on our behalf and are bound to use it only for the services they provide to us.
- Advertising and analytics platforms (see the section below).
- Where required or authorised by law, or where you have consented.
Advertising, Measurement and Audiences
We advertise our services online, including on platforms operated by Meta (Facebook and Instagram) and Google.
To measure whether our advertising is effective, and to reduce the amount of irrelevant advertising shown to people, we may share limited identifiers, such as your email address or phone number, with these platforms. Where we do so, these identifiers are first converted into an irreversible cryptographic hash on our systems, so the platform receives a scrambled value rather than your actual email address or phone number. The platform uses this only to match records it already holds, and to help us:
- understand which of our advertisements led to enquiries and enrolments;
- avoid showing ads to people who are already our customers; and
- build audiences of people whose characteristics are similar to our existing customers (commonly called “lookalike” audiences), so that our advertising reaches families more likely to find it relevant.
We do not provide these platforms with your child’s academic records, lesson notes, progress reports or assessment results for advertising purposes.
You can opt out. If you would prefer that we do not include your information in advertising measurement or audience creation, email us at jonathan@leemathematicstuition.com and we will remove you. This will not affect the tutoring services we provide to you.
Overseas Disclosure
Some of our service providers store or process personal information outside Australia. These providers are located mainly in the United States (including our customer relationship management, email delivery, AI, hosting, payment and advertising providers) and Japan (email sending), and in other countries where those providers or their sub-processors operate.
Before we use an overseas provider, we take reasonable steps to ensure it handles personal information in a way that is consistent with the Australian Privacy Principles, including through its contractual and data protection terms.
Storage and Security
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. We retain information only for as long as it is needed for the purposes described in this policy, or as required by law.
How Long We Keep Marketing Information
We keep your contact details for marketing only while you are likely to want to hear from us: generally up to 12 months after an enquiry or strategy session, and up to 2 years after your child’s last lesson, unless you ask us to keep in touch for longer. If you unsubscribe, we keep your email address or phone number on a do-not-contact list so that we do not send you marketing again.
Cookies
We use cookies and similar technologies on our website to understand how it is used, and to measure the performance of our advertising. You can accept or refuse cookies through your browser settings; refusing them may affect some features of the site.
Access, Correction and Complaints
You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, incomplete or out of date. Contact us using the details below.
If you believe we have breached the Australian Privacy Principles, please contact us first. We aim to respond within 30 days. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
Changes to This Policy
We may update this Privacy Policy from time to time. The current version is always published on this page, with its effective date shown above.
